VMO Aero is a private aviation company offering aircraft acquisition, management, charter, flight support, catering requests, and related services. This Policy applies to:

• This website — public pages, enquiry forms, newsletter sign-up, Briefing Room comments, staff training, and the staff or admin tools hosted here.
• Scale — our internal staff and aviation operations application for attendance, leave, workplace communications, clients, quotes, invoices, flights, itineraries, and document sharing.
• BERP — our internal business and resource planning platform used by authorized staff for company records, client and commercial files, operational documentation, and workplace administration. BERP may exchange information with Scale and with staff tools on this website.

2. Information we collect

Website

• Enquiries and bookings: name, email, phone, enquiry type, message, trip details, dates, passengers, selected aircraft, catering preferences, and notes you submit on contact, book, catering, purchase, or related forms.
• Newsletter: email address and topic preferences (news, promotions, events).
• Briefing Room: optional display name, comments, and an anonymous like session stored in your browser.
• Staff training: name, email, department, course details, report summaries, and optional uploaded documents.
• Staff and admin portals: login sessions, staff directory lookups, and performance appraisal records (role, department, ratings, goals, comments, and signatures) for authorized users.
• Technical information: IP address, browser type, pages viewed, and similar usage data from analytics and advertising tags.

Scale

• Account information: name, email, role, department, job title, and profile photo.
• Device information: device model, operating system, device identifiers, and IP address.
• Staff information: clock-in/out records, location where required, leave requests, and workplace communications.
• Operational information: client details, quotes, invoices, flights, itineraries, aircraft information, and passenger details entered for authorized operations.
• Technical information: application preferences, local cache, and information required for security and functionality.

BERP

• Staff, contractor, and approved-user account details needed to operate the business.
• Client, commercial, invoice, quote, and operational records entered or synced for authorized work.
• Files and history created while using BERP, including records that Scale or website staff tools may display or update.

3. How we use your information

We use personal information to:

• Respond to charter, acquisition, management, catering, training, and general enquiries.
• Manage staff accounts, access, attendance, leave, chat, and notifications in Scale and BERP.
• Support aviation operations, clients, flights, quotes, and invoices.
• Provide maps, route information, and document-sharing features in Scale.
• Process password recovery and maintain application and website security.
• Send newsletter updates you requested and measure how our public pages are used.
• Meet legal, regulatory, employment, and company obligations.

Website form submissions are requests for service. They do not become a confirmed booking, contract, or flight until VMO Aero accepts them in writing.

4. Sharing information

We may share information with authorized VMO Aero personnel and service providers that support our digital services, including:

• Hosting and storage: Vercel (website hosting, analytics, and file storage) and Neon / Vercel Postgres or other databases used for submissions, newsletters, blogs, flights, and staff records.
• Supabase: authentication, database, and cloud storage for Scale and related backups.
• BHR and email providers: password recovery, verification codes, and operational notices such as appraisal finalization.
• Google: Analytics, Ads, optional sign-in, Maps, and route functionality.
• Apple: optional sign-in on Scale, where enabled.
• Aviapages: flight-time estimates when you request a charter calculation on the website.
• WhatsApp or other sharing services: when you intentionally share documents from Scale.

Some service providers may process information outside Nigeria, including in the United Kingdom, the European Union, or the United States. We only share what is needed for the relevant service.

5. Cookies and similar technologies

The website uses cookies and similar technologies for analytics, advertising measurement, and staff/admin sessions. Scale and BERP may use local storage, application cache, and secure device storage. See our Cookie and Local Storage Policy for details.

6. Security and retention

We use reasonable security measures, including authenticated access, permissions, database controls, and protected recovery processes.

We retain information only as long as necessary for business, employment, aviation, legal, and regulatory purposes. Specific retention periods are determined by VMO Aero’s applicable policies.

Subject to applicable law, you may request access to, correction of, or deletion of your personal information, or object to certain processing. Newsletter subscribers may ask to be removed from mailing lists.
